A. PURCHASING

  1. Recommends procurement strategies to optimize purchasing activities, achieve cost savings while meeting quality and delivery requirements.

  2. Sources and evaluate suppliers and their performance in accordance with organizational requirements and identified criteria.

  3. Receives purchase requisitions and job orders and informs requisitioners with the status of their requisitions.

  4. Ensures continuous flow of supply of items and services and timely response to purchase requests.

  5. Monitors purchase order process to ensure timely purchase order creation, issuance and tracking.

  6. Assists in reviewing supplier contracts to ensure negotiated terms are properly documented.

  7. Assists in resolving supplier-related issues such as disputes, quality concerns, delivery delays and payment discrepancies.

  8. Assists in reviewing prices of goods per SKU and ensure that this is regularly updated.

  9. Assists in encoding of items in the ERP system on a monthly and quarterly basis.

  10. Assists in recommending purchasing process improvements in the department.

  11. Assists in conducting data analysis of annual, quarterly and monthly expenditures on item purchases, mode of deliveries, support services and other overhead expenses as inputs to procurement forecasting.

  12. Recommends initiatives and programs to save on costs and generate savings for the Company.

  13. Prepares and submits purchasing reports.

  14. Performs support functions such as organizing, filing, distribution and typing up of documents.

  15. Monitors Petty Cash Fund.

  16. Performs other functions as may be necessary from time to time.

B. ADMINISTRATIVE TASKS

  1. Receives Job Order of stores and coordinates with the Store Development Supervisor for Job assignments.

  2. Monitoring of Job Orders.

  3. Assists the Store Development Supervisor in dispatching of technician and drivers

  4. Assists the Store Development Supervisor in coordinating with store outlets regarding work schedule and permits.

  5. Coordinates with Accounting and Finance in terms of budget approvals for ongoing projects.

  6. Monitors and record imported equipment, tools and supplies.

  7. Conducts inventory of warehouse.
