Service Coordinator

Job Description:

  • Scheduling & Dispatch: Build and optimise technician schedules in Simpro; manage same-day changes, travel time, and skill matching.
  • Job Control: Create/approve jobs, update statuses, attach notes/photos, order parts, raise POs, and ensure required materials/tools are ready.
  • Customer Management: Confirm bookings, send reminders/ETAs, handle inbound calls/emails, manage escalations, and capture clear job notes.
  • SLA & Compliance: Track SLAs, warranty rules, and safety paperwork; ensure checklists and compliance docs are completed.
  • Billing Readiness: Ensure parts and labour are correctly allocated to jobs and client specific invoicing requirements are met so jobs are invoice-ready with minimal rework.
  • Reporting: Daily WIP review, overdue jobs, re-visits, and utilisation; flag risks early to Operations Manager.
  • Continuous Improvement: Suggest scheduling, template, and workflow tweaks to improve speed and accuracy.

Qualifications:

  • Bachelor's Degree in Operations Management, Business Administration, or any related field.
  • 2+ years of coordination/dispatcher experience in trades, technical service, or facilities.
  • Experience supporting Australian customers and technicians.
  • Proven Simpro experience (scheduling, job management, purchasing, and reporting).
  • Background in mechanical service or contractor environments is a plus.
  • Comfortable with Microsoft 365 (Outlook/Excel/Teams) and VoIP/softphone tools.
  • Basic understanding of inventory/parts and warranty processes is a plus.
  • Strong prioritisation and multitasking across high-volume tickets/calls.
  • High attention to detail; accurate data entry and documentation.
  • Excellent English (written & verbal), confident phone manner, and calm under pressure.
