Purpose

This document outlines the job description and operational guidelines for the Logistics Assistant position in the TMS Logistics Department. The intent is to guide the hiring process, define responsibilities, and establish coordination standards to ensure smooth logistics operations across Gomeco, MMI, and Jollyhomes.

Key Responsibilities:

  • Assist in dispatch preparations and monitor trip schedules.
  • Prepare, organize, and file logistics documents (e.g., DRs, transmittals, receiving copies, and permits).
  • Encode and secure Delivery Receipts (DRs) for all deliveries (Gomeco, MMI, Jollyhomes) to ensure proper turnover to Accounting.
  • Coordinate with warehouse staff to ensure timely and accurate loading/unloading of goods.
  • Monitor truck movements and provide updates to the supervisor.
  • Conduct inventory checks and track stock movement (parts & modular).
  • Ensure proper turnover and storage of materials, parts, and pull-out items.
  • Check production monitoring for assigned account projects.
  • Coordinate with site engineers and stakeholders one day prior to delivery for confirmation of requirements.
  • Inspect and remind delivery teams of attire and grooming standards.
  • Secure client-signed documents and proof-of-delivery photos.
  • Collate and file daily vehicle checklist forms.
  • Prepare and finalize detailed vehicle itineraries, including route planning and driver assignments.
  • Update attendance records for logistics personnel.
  • Serve as reliever in dispatch or warehouse coordination when needed.
  • Maintain coordination with the other Logistics Assistant to ensure smooth operations, task coverage during absences or peak periods, and adaptability to shifting project needs.
