JOB DESCRIPTION DETAILS

The Onboarding Associate will be responsible for managing the end-to-end onboarding process for new hires and ensuring a seamless, engaging, and compliant transition into the firm. This role focuses on coordinating with stakeholders, monitoring pre-employment compliance, and maintaining accurate reports in alignment with Service Level Agreements (SLAs) and onboarding key performance indicators (KPIs).

PRIMARY DUTIES & RESPONSIBILITIES

ONBOARDING:

Ensure the completion of pre-employment requirements for new hires.

Follow up with new hires for any pending pre-employment requirements.

Ensure that new hires are cleared with their pre-employment medical examination.

Transfer new hires accordingly in the firm's current system.

Properly endorse new hires to the Technology Support Group for their assets and Microsoft accounts.

Endorse new hires to the Knowledge Management Group.

Welcome newly hired employees and execute the engagement plan throughout the onboarding journey to ensure a great experience and a smooth start to their roles.

Align new employees with managers and their teams and communicate involvement procedures to all stakeholders.

Occasionally host onboarding sessions.

Regularly audit if the new hires successfully completed the onboarding process.

REPORTING:

Maintain accurate and up-to-date reports related to onboarding activities.

Track and report onboarding progress and compliance.

Adhere to Service Level Agreements (SLAs) and established metrics for onboarding quality and timeliness.

QUALIFICATIONS

Bachelor's degree in Business, Psychology, Industrial Engineering, Human Resource Management, or any related field.

At least three (3) months of relevant experience in onboarding, recruitment coordination, or HR administration.

Proficiency in Microsoft Word and Microsoft Excel (including CountIF, Pivot, VLookUp).

Excellent verbal and written communication skills.

Strong analytical and organizational skills.

Process improvement expertise.

Good time-management skills with the ability to handle multiple onboarding cases simultaneously.

Problem-solving skills.

Ability to communicate professionally.

Amenability to work in a fast-paced environment.

Open to fresh graduates who have internship or short-term experience in HR or related fields.
