  • The Office Manager role is critical in ensuring a smooth-running office environment while providing crucial support to the leadership team. This role is vital in maintaining operational excellence, fostering a productive workplace, and supporting our executives in achieving business goals. The role will oversee everything from facilities management and executive support to employee onboarding and security protocols. The ability to juggle multiple priorities, communicate effectively across all levels and functions, and drive operational improvements will be key to success.

Qualifications (heading) / Compétences (titre)

  • - Minimum 5-7 years of experience in a similar role, preferably in the financial services or insurance industry
    - Proven track record in office management and administration
    - Experience in executive assistant roles, supporting executives
     

Responsibilities (heading) / Responsabilités (titre)

  • This role will be responsible for Office Administration and Facilities Management. The Office Manager will provide full spectrum of office administrative and operational support including office facilities management, lease management, office renovation, relocation and general maintenance project coordination, procurement and vendor management.

  • This role will provide secretarial and administrative support to the designated senior executives.

  • This role will work on Special Projects as assigned by the Global Finance COE Executive.

  • As the Office Manager, the person will be the Main Focal Point/Coordinator who will ensure that standard guidelines, cohesive practices and approach are aligned. Identify operational painpoints and coordinate with different departments that may disrupt operations.

  • This role will work with HR and IT in onboarding and offboarding of Employees. In particular, provide support to new hires, including provisioning appropriate office devices, granting building access and other office needs

  • Enterprise Security: This person will serve as the point of contact for updates, emergencies, and annual reporting. Participates on health and safety programs.
