Job Overview:
We are looking for a proactive and detail-driven Virtual Scheduling & Admin Coordinator to ensure the seamless operation of a growing business. The role covers scheduling, task coordination, customer support, and general administrative functions. The right candidate will excel in a dynamic environment, communicate effectively, and leverage AI tools to optimize workflows and boost efficiency.
Core Duties:
- Oversee daily business operations, including schedule management and task assignments
- Respond to customer inquiries across phone, email, and chat with professionalism and care
- Maintain accurate customer records, appointments, and service requests within the CRM
- Provide administrative assistance such as documentation, data entry, and report creation
- Track operational processes and apply AI-based tools for automation and efficiency gains
- Support team scheduling, handling adjustments and troubleshooting issues as needed
- Keep open communication with both customers and internal teams for issue resolution
- Evaluate operational data and deliver reports highlighting areas for improvement
Required Skills:
- Native English proficiency with outstanding written and spoken communication
- Strong organizational skills and ability to juggle multiple tasks at once
- Experience in scheduling, customer service, and administrative roles
- Familiarity with AI-powered tools and workflow automation
- Ability to work independently in a fully remote setting
- Detail-oriented with consistent process adherence
- Comfortable with CRM platforms and communication systems
