Business Assistant

We are seeking a proactive and growth-driven Business Assistant to support daily operations, lead management, and light marketing activities. The role involves managing the CEO's schedule, ensuring smooth communication with leads and clients, and maintaining an organized CRM workflow. This person will also assist with administrative, operational, and basic marketing tasks to help streamline business processes and support company growth.
Key Responsibilities:
- Manage the CEO's calendar, schedule 1:1s with leads, and coordinate meetings through email outreach and follow-ups.
- Handle lead generation tasks, including retrieving, qualifying, and tracking leads through Zoho One CRM (or recommending an alternative platform).
- Conduct outreach to prospects, follow up on progress, and support efforts to close deals.
- Provide administrative support such as email management, travel coordination, invoicing, and inbox prioritization.
- Support operations and logistics using company tools including Gusto, Google Workspace, Office 365, and ReachReporting.
- Manage CRM entries: add contacts, update deals, and maintain accurate data and documentation.
- Coordinate with marketing agencies for cold outbound email and LinkedIn prospecting; reply to inbound responses.
- Assist with basic marketing tasks such as posting weekly content on LinkedIn and Meta, creating simple graphics, and helping manage social media presence.
- Set up and assist in managing AI-driven cold outreach email campaigns.
- Support webinar logistics and ensure smooth execution of online events.
- Handle client relationship management, including check-ins with existing clients and relaying needs to the CEO.
- Use AI note-takers during meetings for documentation and follow-ups.
Preferred/Bonus Experience:
- Background in construction, professional services, or healthcare private practice is a plus.
Ideal Candidate:
- Someone proactive, eager to grow, and able to take initiative while effectively "managing up" to the CEO. This role offers the opportunity to grow into a full-time position within a fast-scaling company.
