
Inventory Assistant

The Inventory Assistant supports the Branch Supervisor and Assistant Branch Supervisor in ensuring the smooth operation of both the back office and the selling area. This role is critical in maintaining operational efficiency, overseeing clerical processes, and upholding inventory management systems. In the absence of the Branch Supervisor and Assistant Branch Supervisor, the Inventory Assistant assumes responsibility for overall store operations, with a strong focus on inventory accuracy and compliance with internal systems and processes.
PROMOTION TO INVENTORY ASSISTANT
Inventory Assistants are selected from among senior, trusted, and regular-employed cashiers. Candidates are evaluated by the Branch Supervisor based on the following criteria:

Selected candidates must complete theoretical training covering all core responsibilities, including a qualifying examination. Those who pass will undergo a six-month probationary period, with formal performance evaluations every two months.
DUTIES & RESPONSIBILITIES1. OVERALL STORE IMAGE AND OPERATIONS
- Maintains and secures all official store files, reports, logbooks, and documentation.
- Opens and/or closes the store in compliance with established procedures.
- Conducts daily cash audits, records in the Daily Cash Count Logbook, prepares petty cash replenishment reports, and deposits cash sales.
- Secures cash funds and gift certificates in the vault.
- Monitors and orders operating supplies and first aid kit replenishments.
- Ensures timely payment of billing statements and submission of required reports to head office, mall accounting, and other departments.
- Monitors staff attendance, inputs DTR, reports irregularities, ensures issuance of employee codes, and updates performance logs.
- Acts as Officer-in-Charge (OIC) when needed.
- Maintains stockroom standards and ensures functionality of maintenance and security systems (e.g., fire extinguishers).
- Ensures visual merchandising standards are implemented and maintained; oversees monthly general cleaning.
- Prepares logistics for sale events and promotions.
- Submits repeat orders, coordinates inter-branch transfers, and implements approved markdowns/markups.
- Ensures accurate tagging and pricing of merchandise.
- Prepares requisitions and maintains related inventory documentation.
- Handles receiving and pull-outs; matches reports with LS transactions.
- May assist in cashiering, POS EOD processing, and customer service when required.
- Acts as reliever for store guard during breaks.
2. INVENTORY MANAGEMENT
- Recommends removal of non-performing/slow-moving items.
- Ensures timely and accurate vouchering, in-slips/out-slips, and DR confirmations; reports discrepancies via Delivery Discrepancy Reports.
- Coordinates with warehouse and couriers for stock transfers.
- Ensures proper tagging of incoming/outgoing items and maintains accurate tracking sheets.
- Processes weekly requisitions for outright and basic items.
- Updates item price changes and ensures polling is conducted daily.
- Downloads and verifies daily receipts and transfers; completes inventory transmittals.
- Implements month-end procedures to calculate and carry over inventory balances.
- Ensures markdown items are correctly tagged; maintains POP compliance.
- Oversees quarterly and monthly cycle counts, spot audits, and supports Annual Physical Inventory.
- Ensures compliance with Monthly Monitoring Inventory (MMI) process.
- Coordinates resolution of discrepancies, damaged item disposal, and pull-out approvals.
3. CASH MANAGEMENT
- Safeguards store cash funds and gift certificates.
- Monitors operating expenses to stay within budget.
- Audits daily sales invoices and verifies deposit slips.
- Secures all manual sales invoice booklets.
- Enforces proper vault procedures.
4. CUSTOMER SERVICE
- Attends to customer injuries occurring in-store.
- Handles unresolved complaints elevated from the Branch Supervisor.
- Responds to inquiries regarding ongoing store promotions.
ACCOUNTABILITY FOR CASH AND INVENTORY LOSSES
The Inventory Assistant is accountable for safeguarding store resources and will be held responsible for losses resulting from:
- Errors in cash handling, transaction processing, or POS operations.
- Failure to enforce proper cashiering procedures.
- Administrative or system-related negligence.
- Receiving process errors or unreported discrepancies.
- Shoplifting incidents tied to operational lapses.
- Non-compliance with inventory documentation policies.
- Failure to report irregularities promptly.
- Oversights in cashiering or inventory control.
QUALIFICATIONS:
- Candidate must possess at least a Bachelor's Degree, Computer Science/Information Technology, Business Studies/ Administration/Management/Finance/Accountancy/Banking or any related courses
- Computer literate
- Must be detail-oriented
- With strong leadership
- Experience in Cashiering is advantage
- Inclined in Sports is an advantage
- Willing to work mall hours operation
