Responsibilities:

  • Own setup, maintenance, and optimization of Follow Up Boss and GoHighLevel
  • Build and manage smart lists, tags, automations, pipelines, and dashboards
  • Ensure CRM structure supports onboarding, lead routing, follow-up compliance, and performance tracking
  • Maintain clean pipelines, accurate data, consistent tagging, and system reliability
  • Conduct weekly audits for agent CRM usage, follow-up standards, and Zillow Flex compliance
  • Identify gaps, flag non-compliance, and escalate findings to Operations leadership
  • Serve as primary CRM support for agents; troubleshoot workflows, automations, reporting, and lead routing
  • Educate and enforce CRM best practices, usage standards, and lead management workflows
  • Track and report daily/weekly metrics (activity, compliance, pipeline health, response times)
  • Maintain dashboards in CRM tools and ClickUp
  • Support Zillow Flex workflows and finance-related reporting
  • Provide leadership with clear visibility into agent performance, system health, and risk areas

Experience Requirements (Non-Negotiable):

  • 3–5+ years professional CRM management experience
    (corporate or senior VA with full ownership)
  • 2+ years hands-on Follow Up Boss management
  • 2+ years hands-on GoHighLevel management
  • Proven experience designing CRM structures, building automations, auditing agent activity, and producing leadership reports
  • Candidates without real ownership and decision-making authority will not be considered
