The Accounts Assistant – Accounts Payable, reporting directly to the AP Supervisor, is responsible for providing financial and administrative support to ensure the effective, efficient, and accurate operation of the Accounts Payable function. This role adheres to the policies, procedures, and standards of Marco Polo Hotel Ortigas Manila, ensuring that all payables are processed in compliance with established controls and are paid accurately and on time to vendors.

Key Responsibilities:

  1. Process Accounts Payable transactions by verifying invoices through three-way matching (Sales Invoice, Receiving Report, Purchase Order) and uploading verified entries to maintain up-to-date vendor ledgers.
  2. Prepare and manage payments including weekly cheque runs, disbursement reports, manual cheque preparation, and maintaining accurate cheque records.
  3. Coordinate with the AP Supervisor and Chief Accountant to ensure accurate accounting entries, tax compliance, and proper processing of RFPs, expense liquidations, and cash advances.
  4. Assist in month-end closing by ensuring all invoices are posted, preparing accrual journal entries, and supporting accurate financial reporting.
  5. Maintain organized records of paid invoices and related documents, ensuring confidentiality and professional conduct in all payable-related matters.

Qualifications:

  1. Bachelor's degree in Accounting, Finance, or a related field.
  2. At least 1–2 years of experience in Accounts Payable or general accounting, preferably in the hospitality industry.
  3. Knowledge of basic accounting principles, taxation, and internal controls.
  4. Proficient in Microsoft Office applications and accounting systems
  5. Strong attention to detail, organizational skills, and ability to meet deadlines.
  6. Good communication and interpersonal skills, with the ability to work effectively in a team.
  7. High level of integrity and commitment to confidentiality.
