About the Role

As VP for Operations, you will be the right-hand leader to the current COO, taking charge of daily operations while ensuring that Scale Virtually remains a high-growth, process-driven company.

This is a career-defining opportunity for someone looking to eventually step into the full COO role. Your focus will be execution, efficiency, and team alignment while the COO focuses on strategy, growth, and high-level leadership.

Key Responsibilities

1. Own & Optimize Day-to-Day Operations

2. Oversee all operational departments (HR, Finance, DevOps, Client Services, and Service Delivery)

3. Ensure alignment across all teams to hit company-wide KPIs

4. Maintain high efficiency, quality, and cost control in service delivery

1. Strengthen & Standardize Processes

2. Refine and enforce Lean Six Sigma principles to eliminate inefficiencies

3. Improve client experience, VA retention, and support team engagement

4. Lead process automation and documentation efforts

5. Leadership & Team Development

6. Directly manage department heads, ensuring alignment and performance

7. Build a culture of accountability, collaboration, and high execution

8. Provide structured mentorship to elevate leadership across teams

1. Data-Driven Decision-Making

2. Establish transparent reporting structures for data-driven forecasting and execution

3. Track operational KPIs, ensuring real-time insights into efficiency, profitability, and growth metrics

1. VA & Client Success

2. Ensure seamless VA placement & onboarding for long-term client satisfaction

3. Maintain high CSAT, NPS, and retention metrics through process and service optimization

Ideal Candidate Profile

1. Must-Have Experience:

2. Proven experience in scaling remote operations (preferably in a BPO, virtual staffing, or real estate-related industry)

3. Expertise in process optimization (Lean Six Sigma, EOS, or similar methodologies)

4. Led cross-functional teams, managing 100+ employees/support staff

5. Successfully improved operational efficiency, customer satisfaction, and retention metrics

6. Worked directly with founders/executives in a fast-growing company

1. Preferred Skills:

2. Deep knowledge of real estate, virtual staffing, or operations-heavy industries

3. Understanding of service-based business models and operational cost control

4. Experience using AI, automation, and technology to streamline workflows
