ABOUT THIS ROLE
Apex is a leading provider of business and technology solutions for the investment services industry. Our Cost Basis & Tax team delivers cost-effective brokerage operations, cost basis reporting, and wealth management solutions for our clients. We are seeking a detail-oriented, analytical, and proactive Tax Operations Analyst (Client Reporting) to join our growing team.
This role involves elements of accounting, compliance, corporate finance, tax, and risk management. The ideal candidate thrives in a fast-paced environment, works collaboratively across teams, and demonstrates a passion for critical thinking and problem solving. Analysts will support and lead initiatives that optimize Advisor and client experience, operational excellence, and regulatory compliance.
- Duties & Responsibilities
- Review, analyze, and update cost basis tax lots for changes due to transactional adjustments.
- Validate tax forms, including W-9/W-8, process supporting documentation, and facilitate annual W-8 recertification or remediation.
- Analyze and reconcile daily tax withholding activity, ensuring compliance with FATCA, NRA, Backup Withholding, and related IRS requirements.
- Maintain tax reporting obligations, submission deadlines, legal requirements, and resolve withholding or reporting issues.
- Manage tax year-end reporting including Forms 1099, 1042-S, and associated filings (returns 945/1042).
- Process W-8IMY intermediary allocations and withholding statements.
- Facilitate B/C Notices and coordinate with Tax Advisory to address or abate penalty notices.
- Perform regular account reviews and reconciliations to ensure compliance with internal policies and regulatory requirements.
- Conduct audit reviews (such as 1099s and customer statements) and perform periodic compliance checks of exception reports.
- Identify and implement process improvements to mitigate risk, increase operational efficiency, and enhance process consistency across the team.
- Support and participate in the testing and implementation of new system enhancements and product functionality.
- Assist with the resolution of escalated and complex issues impacting Advisors or clients.
- Monitor and enforce service level agreements (SLAs) to maintain performance and customer satisfaction standards.
- Analyze large datasets and generate actionable business intelligence using SQL and/or advanced Excel, ensuring data accuracy.
Education and/or Experience
- Bachelor's degree in a related field (or equivalent practical experience) required.
- 2+ years of relevant work experience (experience with tax and cost basis operations preferred).
- Experience with US tax reporting, understanding of withholding for foreign persons, and 1042-S reporting is a plus.
Required Skills and Abilities
- Strong analytical and problem-solving abilities.
- Excellent oral and written communication skills.
- Self-motivated with demonstrated ability to work independently and manage competing priorities.
- Advanced proficiency with SQL and/or Excel for data extraction, processing, and analysis.
- Strong knowledge of US tax regulations, including Internal Revenue Service (IRS) rules for FATCA, Chapters 3/4/61, CRS, 871m/305c, 1099, and 1042-S.
- Proficiency with tax-related software (e.g., Broadridge, Tania, Markit CTI, 1099PRO, Sovos) is considered a plus.
- Proficiency in additional languages considered a plus.
Work Environment
- This job operates in a hybrid, office-based environment, requiring at least 2 days per week in the office.
