[Job Overview]

The Vendor Management Specialist is responsible for coordinating and managing all esports event vendors,

including stage setup, lighting, sound, video, network, and equipment suppliers.

This role ensures all vendors deliver on time and meet required technical and quality standards.

It also involves overseeing contracts, budgets, and execution progress while collaborating closely with the

director, technical, and stage teams to ensure smooth and efficient event operations.

Job Responsibilities

  1. Vendor Coordination and Management

· Oversee and manage esports event vendors, including stage design, lighting, sound, video, network,

and equipment suppliers.

Build and maintain a vendor database; evaluate performance and service quality regularly.

. Develop procurement and execution plans to ensure all resources are delivered on time.

  1. Execution Supervision and Quality Control

· Supervise vendor setup, testing, live execution, and teardown processes.

Ensure all equipment and services meet technical and safety standards.

Resolve on-site issues promptly and coordinate resources to ensure smooth event operations.

  1. Contract and Budget Management

Assist in drafting vendor contracts, reviewing quotations, and controlling costs.

· Manage project budgets and ensure compliance with financial standards.

o Complete post-event settlement and performance review reports.

  1. Cross-Department Collaboration

Work closely with the director, technical, and stage teams to ensure unified execution.

Support pre-event planning and on-site operations.

Job Requirements

. Bachelor's degree or above in Event Management, Project Management, Media, or related fields.

. Minimum 2 years of experience in vendor management for large-scale events, esports, or live productions.

. Familiar with stage, lighting, AV, and network equipment processes and standards.

· Strong communication, negotiation, and problem-solving skills.

. Proficient in English, capable of coordinating with international vendors.

Preferred Qualifications

. Experience in esports or entertainment event execution.

. Background in supply chain management or PMP/procurement certification is a plus.
