Role Overview:

We are seeking a reliable, detail-oriented Virtual Assistant to support the daily administrative and phone operations of a private pediatric home care agency.

This role is essential for maintaining smooth communication with families, nurses, and staff while ensuring HIPAA compliance and high-quality service.

Key Responsibilities:

  1. Administrative Support

  2. Manage emails, digital files, and intake paperwork tracking.

  3. Update client, caregiver, and referral information in internal systems.

  4. Maintain logs, task trackers, and calendars.

  5. Prepare reports and support non-clinical compliance documentation.

  6. Phone & Communication Tasks

  7. Handle inbound/outbound calls and route them appropriately.

  8. Schedule and confirm appointments, intakes, and assessments.

  9. Communicate clearly with parents/guardians and escalate urgent issues.

  10. Address routine FAQs regarding service starts, insurance, and intake processes (scripts provided).

  11. Intake & Referral Support

  12. Log new referrals and verify required non-clinical documents.

  13. Follow up on missing paperwork and track intake status.

  14. Coordinate effectively with nurses and intake staff.

  15. Systems & Tools

  16. Utilize phone systems, secure messaging, and EHR/CRM platforms (training provided).

  17. Proficiency in Google Workspace or Microsoft Office.

Qualifications:

  • Required: Proven experience as a VA or Healthcare Admin, strong communication skills, excellent organization, and a commitment to HIPAA compliance.

  • Preferred: Experience in home care, pediatric care, or Medicaid settings, and familiarity with insurance verification.

Job Type: Full-time

Pay: Php28, Php32,000.00 per month
