Position Title: Customer Billing Representative

Reports To: Supervisor/Manager

Overview

The Customer Billing Representative is responsible for processing and managing billing activities to ensure accurate and timely invoicing for clients. The role involves maintaining organized financial documentation, addressing billing inquiries, and coordinating with internal departments to support smooth billing operations and overall business financial health.


RESPONSIBILITIES

Core Billing & Documentation

  • Prepare and release invoices based on client contracts and service records.
  • Verify billing entries, classify data, and update financial records accurately.
  • Maintain well-organized billing files and documentation for reference and audit purposes.
  • Ensure all billing outputs follow established billing policies and guidelines.

Client Coordination & Communication

  • Serve as a point of contact for billing inquiries and provide prompt, clear responses.
  • Coordinate with Account Managers and team members to resolve client-related billing concerns.

Collection Monitoring & Follow-Through

  • Track invoice statuses and monitor timely receipt of payments.
  • Send reminders and follow up on outstanding or overdue balances.

Issue Resolution & Accuracy Assurance

  • Identify billing discrepancies and inconsistencies.
  • Work with internal teams to address errors and prevent recurring issues.

REQUIREMENTS & SKILLS
  • Experience as a Billing Representative or similar financial/administrative role.
  • Knowledgeable in billing workflows and financial recording practices.
  • Strong data entry skills with high accuracy and attention to detail.
  • Proficient in spreadsheets and billing software.
  • Excellent written and verbal communication skills.
  • Professional and customer-oriented demeanor when interacting with clients.
  • Problem-solving ability and proactive approach to resolving billing issues.
  • Ability to coordinate with internal stakeholders effectively.
