Overview

We are seeking a detail‑oriented Data Preparation Specialist to support R&D tax credit projects by transforming raw client reports into clean, structured files ready for ingestion by an automation platform with strict formatting requirements. This is a deep‑focus, non‑client‑facing role ideal for someone who thrives in Excel, enjoys untangling messy datasets, and can process large volumes of information quickly and accurately.

The work centers on converting time‑tracking reports, payroll data, and other exports from inconsistent formats into standardized layouts. Some files can be streamlined with formulas or PivotTables, while others require hands‑on restructuring or line‑by‑line entry. The objective is straightforward: deliver clean, error‑free data in the required format every time.

**Key Responsibilities

Data Intake and Formatting**

• Convert raw client datasets into the exact structure required by the automation platform used for R&D tax credit work.
• Handle a wide range of report formats, including time-tracking logs, payroll reports, and engineering system exports such as Deltek.
• Decide the most efficient method for each file – Excel transformation techniques or manual restructuring – and execute accordingly.
• Remove unnecessary elements such as hyperlinks or embedded formatting that disrupt data ingestion.
• Consolidate large sets of monthly or multi-file reports into a single, consistent template.

Excel Execution

• Use formulas, functions, and PivotTables to reorganize, clean, and combine datasets.
• Manage large volumes of information and maintain accuracy across repetitive tasks.
• Build repeatable workflows for recurring file types to improve speed and consistency over time.

Quality Control

• Review processed datasets for missing fields, obvious errors, or structural issues before final delivery.
• Apply basic accounting intuition to spot data irregularities in payroll or time-tracking files.
• Ensure final outputs are complete, accurate, and ready for immediate ingestion by the platform.

Operational Coordination

• Maintain clear organization of incoming files, processed versions, and final upload-ready datasets.
• Keep raw client data fully intact and separate from formatted versions.
• Work efficiently against quick turnaround timelines and communicate progress when needed.
• Support leadership with additional tasks as needed, including administrative work, research assignments, and ad hoc projects.

Required Qualifications

• 3+ years of experience in a data preparation, data processing, or Excel-heavy operational role.
• Strong Excel capabilities and comfort working in spreadsheets most of the day.
• Proven ability to clean and standardize disparate datasets into uniform formats.
• Attention to detail and consistency across high-volume workflows.
• Ability to identify when a dataset requires manual entry versus formula-based transformation.
• Basic accounting intuition helpful for spotting anomalies in payroll-related data.

Nice-to-Have (Bonus Skills)

• Experience working with engineering time-tracking systems or complex exported reports.
• Background in tax, bookkeeping, or financial data processing.
• Experience providing administrative or operational support in a small or fast-paced company.
