Ibex Staffing Solutions is seeking a detail-oriented and tech-savvy Procurement Operations & Data Support Specialist to support our client's managed procurement services team.

This role focuses on maintaining data accuracy, ensuring contract lifecycle visibility, and assisting in reporting, forecasting, and client deliverables across multiple systems - including Jira Service Management (JSM), HubSpot, and client's Contract Management Portal (ProcureSync).

This position is ideal for a professional who thrives in process-driven environments, enjoys working with data and systems, and can manage multiple priorities across projects and stakeholders.

Key Responsibilities

System & Data Management

● Manage initial project and vendor intake in JSM (vendor name, spend, project type,due date, etc.).

● Upload and maintain contracts and metadata within client's Contract Portal.

● Ensure accuracy and completeness of signed documents by following up via JSM.

● Support HubSpot project setup and updates, and help automate workflow transitions for internal teams.

● Maintain GL intake records and assist with chart of account changes or mapping updates.

● Conduct regular data audits, vendor data audits

Reporting & Metrics

● Update and maintain savings trackers and revenue tracking tools for internal forecasting.

● Aggregate and format data for SOC 2–related manual tasks and compliance tracking.

● Populate Quarterly Document templates with relevant operational and financial metrics.

● Assist Project Managers and Directors with deck preparation, cleanup, and QBR updates.

Client & Contract Support

● Conduct stakeholder outreach to collect missing contracts and upload received documents to the portal.

● Maintain and periodically clean up Contract Portal records to ensure consistent metadata and file naming conventions.

● Assist in data pulling and analysis for vendor negotiations (e.g., benchmarking reports, pricing comparisons).

● Review and update internal/external workflow templates and documentation as needed.

Preferred Skills

● Strong proficiency with Excel/Google Sheets, data reporting tools, and cloud-based systems.

● Comfort creating PowerPoint/Google Slides decks and managing visuals for reports.

● Experience with Jira Service Management, HubSpot, or Contract Management Platforms (preferred).

● Excellent attention to detail and organizational skills.

● Strong communication skills and comfort working with global teams in different time zones.

● Ability to handle sensitive data with confidentiality and accuracy.

● Analytical mindset with the ability to recognize trends in operational data
