Job Description:
End-to-End Recruitment
1. Talent Sourcing & Outreach
· Source qualified applicants through online platforms such as JobStreet, Indeed, Facebook, and email.
· Design and create job posters and recruitment materials (e.g., social media posts, tarpaulins, flyers) for job fairs and hiring events.
· Respond promptly to applicant inquiries via social media and email, providing accurate information on available job opportunities.
2. Applicant Screening & Selection
· Review applications and screen candidates based on qualifications and job requirements.
· Shortlist suitable candidates and coordinate the scheduling of assessments and interviews.
· Conduct initial interview and assist in the facilitation of final interviews.
3. Hiring & Onboarding Process
· Manage the hiring process by ensuring all steps from selection to onboarding are completed efficiently.
· Conduct onboarding sessions to ensure a smooth transition for new hires into the organization.
· Coordinate role-specific orientation sessions and liaise with branch focal points for Head Office training requirements.
4. Documentation & Monitoring
· Track employment requirements for newly hired employees to ensure timely submission.
· Monitor and update the Recruitment Monitoring File with the latest hire information.
· Maintain and update the recruitment shortlist on a monthly basis
Performance & Compliance
· Create, monitor, and process probationary performance evaluations in coordination with relevant departments.
· Process ID and ATM card requests for new hires and replacements as needed to facilitate payroll and access.
PCR and Appointment Letter Processing· Prepare Personnel Change Requests (PCRs) and Appointment Letters for Head Office and branches, covering all employment actions:
- Newly Hired
- Probationary Extension
- Regularization
- New Wage Orders
- End of Probationary (EOP)
- Promotion
- Transfer
· Monitor the routing and completion of PCRs and Appointment Letters.
· File documents in the 201 File, including PCRs, Appointment Letters, Job Descriptions, and other employee records, maintaining confidentiality and proper organization.
Personnel Requisitions
· Receive and route Personnel Requisition (PR) forms from Head Office and branches for appropriate review and approval.
· Update the Personnel Requisition (PR) summary daily to ensure accurate tracking of PR movements and statuses.
· Monitor the status of approved PRs to ensure timely processing and staffing fulfillment.
Tardiness Memos
· Monitor employee tardiness in the Head Office and branches across all departments.
· Issue corresponding tardiness memos in accordance with company policies and disciplinary procedures.
Others
· Update the Master list to reflect employee movements such as new hires, resignations, regularizations, and EOP status
· Prepare and update daily manpower monitoring reports for submission to OPCOM
· Respond to applicant inquiries through Facebook and email regarding current job openings, providing accurate and timely information.
· Perform other duties that may be assigned from time to time
Job Qualifications:
- Bachelor's degree in Human Resources Management, Business Administration, Psychology, or any related field.
- At least 1-2 years of experience in various facets of HR operations.
- Strong communication skills (written and verbal).
- Proficiency in MS Office, email platforms, and HR-related software.
- Strong interpersonal skills with the ability to work collaboratively.
- High level of integrity, discretion, and confidentiality.
- Flexible, reliable, and a team player.
