Position Overview:
The Rostering Officer is responsible for efficiently coordinating and managing staff schedules to ensure that NDIS participants receive consistent and high-quality care and support. This role involves aligning staff availability, qualifications, and preferences with participant needs, while maintaining compliance with NDIS standards and organizational policies. The Rostering Officer plays a critical role in balancing operational efficiency with participant satisfaction
Key Responsibilities1. Rostering and Scheduling
Develop and manage daily, weekly, and monthly rosters for support workers and other care staff.
Match participant requirements with appropriately qualified and available staff.
Ensure rosters are accurate, cost-effective, and compliant with NDIS and Fair Work regulations.
Adjust rosters promptly in response to staff absences, cancellations, or participant changes.
Coordinate shift replacements in a timely manner to minimize service disruption.
Liaise with support coordinators, participants, and staff to confirm roster arrangements.
Communicate changes to rosters promptly and clearly.
Collaborate with Intake Department to ensure adequate staffing levels for service demands.
Work closely with the payroll team to ensure accurate timesheets and billing.
Maintain up-to-date records of staff availability, certifications, and compliance documents (e.g., NDIS Worker Screening Check, Police Check, First Aid, etc.).
Ensure all shifts comply with participant plans, funding, and NDIS guidelines.
Adhere to privacy, confidentiality, and workplace health and safety standards.
Use rostering and CRM software (e.g., ShiftCare, Carelink, or Supportability) to manage and update schedules.
Generate reports on roster performance, shift coverage, and service delivery.
Identify and address patterns of cancellations, underutilization, or overstaffing.
Support initiatives to streamline rostering processes and improve efficiency.
Provide feedback and recommendations to improve workforce planning and participant satisfaction.
Participate in regular team meetings and contribute to operational improvement discussions.
