Job Summary:
The Operations Specialist is responsible for managing and optimizing inventory, logistics, and warehouse operations to ensure the smooth and efficient flow of goods from suppliers to customers. This role focuses on monitoring inventory levels, improving distribution processes, and identifying opportunities to enhance productivity and reduce costs. The Operations Specialist will collaborate closely with cross-functional teams to align operational strategies with business goals, using data-driven insights to guide decisions. Additionally, this role ensures compliance with industry regulations and maintains high standards of quality control, contributing to the company's overall operational excellence.
Key Responsibilities:
Logistics Coordination and Distribution
- Oversee the timely and efficient movement of goods.
- Resolve logistical challenges promptly to prevent delivery disruptions.
- Implement cost-effective transportation solutions and optimize distribution channels.
- Coordinate with international shippers and freight forwarders to ensure smooth import/export operations.
Process and Workflow Optimization
- Identify inefficiencies across inventory, logistics, and warehouse processes, and lead initiatives to improve performance.
- Develop and implement Standard Operating Procedures (SOPs) to enhance operational consistency and accuracy.
- Collaborate with cross-functional teams to introduce process improvements that drive efficiency and cost savings.
Data-Driven Decision Making
- Collect and analyze operational data to identify inventory trends and evaluate supply chain performance.
- Utilize KPIs to monitor performance, uncover improvement areas, and support strategic decision-making.
- Prepare and present regular operational reports highlighting key metrics and recommendations.
Compliance
- Ensure all operations adhere to industry regulations and internal company policies, especially within the cosmetics sector.
- Maintain accurate and complete documentation to support audits and compliance requirements.
Problem Solving and Risk Management
- Anticipate and address operational issues proactively to minimize disruptions.
- Develop contingency plans to manage risks related to inventory, logistics, and warehouse activities.
- Analyze data to identify root causes of recurring operational challenges.
Collaboration and Stakeholder Communication
- Maintain effective communication with suppliers, logistics partners, and internal teams to ensure seamless coordination.
- Work with other departments to align operational priorities with business objectives and customer demands.
Continuous Improvement and Innovation
- Stay updated on industry trends, technologies, and best practices to enhance operational performance.
- Recommend and implement innovative solutions to improve efficiency, reduce costs, and elevate service quality.
KPI Management and Reporting
- Monitor and manage key performance indicators related to inventory, logistics, and warehouse operations.
- Provide actionable insights from KPI analyses and create improvement plans where needed.
- Communicate performance updates across departments to ensure alignment with company goals.
Qualifications:
- 2–4 years of proven experience in operations, logistics, or supply chain management.
- Strong organizational and multitasking skills in a fast-paced environment.
- Advanced proficiency in Microsoft Excel (e.g., pivot tables, data analysis).
- Analytical mindset with a strong focus on problem-solving and process optimization.
- Excellent communication and collaboration skills.
- Familiarity with compliance and regulatory standards (experience in the cosmetics industry is a plus).
