Role Purpose
The Sales Representative will play a key role in engaging prospective and current students, responding to enquiries across multiple channels, managing tentative enrolments, and conducting follow-up activities to maximise enrolments and renewals.
The role is suited to a motivated, tech-savvy professional who is confident using CRM platforms, communication tools, and AI-assisted technologies to deliver exceptional service.
Key ResponsibilitiesSales & Student Engagement
- Respond promptly to all sales enquiries received via email, online forms, live chat, and social media channels.
- Engage with prospective students and guide them through the enrolment process.
- Manage and follow up on tentative enrolments, ensuring timely conversion into confirmed bookings.
- Make outbound calls using the 3CX VoIP phone system, following provided scripts and adapting as needed to maintain a professional, personable approach.
- Proactively call students regarding renewals, expiring qualifications, and upsell opportunities.
- Monitor and respond to Google Reviews, social media comments/messages, and other digital engagement platforms in a professional and brand-consistent manner.
CRM & Systems Management
- Manage all sales activities through Zoho CRM Plus (mandatory requirement).
- Ensure accurate and timely entry of leads, notes, follow-ups, tentative enrolments, and pipeline updates.
- Utilise CRM automation and workflows to track progress and report on sales activity.
- Where relevant, integrate records with aXcelerate SMS/LMS to ensure student data accuracy.
Digital & AI Utilisation
- Confidently use AI tools (e.g., ChatGPT, Microsoft Copilot) to draft communications, generate responses, and support marketing and sales tasks.
- Ensure AI-generated content is edited for tone, grammar, and accuracy prior to sending.
Collaboration & Reporting
- Collaborate with internal teams (administration, trainers, management) to ensure smooth student onboarding and communication.
- Provide regular updates to management on sales activities, conversion rates, tentative enrolments, and student feedback.
- Participate in virtual team meetings and ongoing professional development.
- Mandatory: Demonstrated proficiency in Zoho CRM Plus.
- Preferred: Prior experience within the Registered Training Organisation (RTO) sector.
- Experience with aXcelerate SMS/LMS is highly desirable.
- Familiarity with 3CX VoIP systems or similar call platforms.
- Excellent written and spoken English (suburb-level fluency required).
- Strong confidence in communication, especially telephone-based sales.
- High attention to detail and strong organisational skills.
- Ability to work independently with minimal supervision.
- Comfortable using and adapting to new technologies, including AI-based tools.
- Professional, positive, and customer-first attitude.
