I. JOB SUMMARY

The Marine Training Coordinator provides comprehensive and strategic support to the Marine Training Department. This role primarily involves researching the best practices in maritime training, developing innovative and compliant programs aligned with regulatory and company standards, and implementing initiatives that enhance the competency and performance of maritime personnel.

He/She delivers clerical and administrative support to the Marine Training Department. Primary responsibility is to aid the training team and trainees before, during and after the conduct of all HSTC TRAINING Course and Assessment programs ensuring all of the Training Department procedures are implemented in a timely manner and is adherent to existing and applicable compliance standards and vessel's requirements.

The position ensures that all Marine Training Department procedures are implemented efficiently and in compliance with regulatory requirements and vessel standards. Additionally, the Marine Training Coordinator works closely with trainees, instructors, internal departments, and regulatory bodies to ensure effectiveness and integrity of training operations.

II. SPECIFIC DUTIES AND RESPONSIBILITIES

  1. The Training Coordinator conducts research on industry trends, regulatory updates, and best practices in maritime training.

  2. Assists in the design and development of new training programs and modules based on competency gaps, regulatory requirements, and operational needs.

  3. Respond promptly and professionally to trainee inquiries and concerns, ensuring a trainee-centric approach.

  4. Verify training schedules onboard.

  5. Facilitate communication and coordination with other internal departments to support training activities.

  6. Monitor and track instructor and trainee attendance, ensuring proper documentation and reporting, and monitoring of training implementation and success rate with a database.

  7. Ensure the availability and completeness of training materials, forms including training evaluation, and resources before and during training sessions. Feedback from training evaluation to be entered into a database for review and action.

  8. Implement and adhere to the department's standard operating procedures, ensuring compliance with applicable regulations and quality standards.

  9. Prepare, maintain, and distribute accurate summaries of trainee training calendar and progress reports.

  10. Monitor vessel schedules to coordinate the boarding plans of Riding Marine and Technical Training Superintendents.

  11. Maintain organized records of training sessions, assessments, and other training-related documentation.

  12. Assist in the evaluation and feedback process by gathering and summarizing trainee and instructor feedback.

  13. Perform other job-related duties as assigned to support the overall efficiency of the Marine Training Department.

III. MINIMUM JOB SPECIFICATIONS

A. Education/License

  1. Bachelor's degree in any business-related course or equivalent field.

B. Years and Type of Experience

  1. Preferably with at least one (1) year of work experience in a maritime training or maritime-related environment.

  2. Possession of a valid driver's license is an advantage.

C. Related Knowledge and Skills

  1. Understanding of basic corporate office functions and administrative processes.

  2. Proficiency in MS Office tools (Word, Excel, PowerPoint) and internet applications.

  3. Strong organizational and time management skills.

  4. Excellent written and verbal communication skills.

  5. Keen attention to detail to ensure accuracy in training documentation.

  6. Strong interpersonal skills to effectively address trainee concerns and feedback.

  7. Ability to establish and maintain professional coordination with colleagues, trainees, and external partners.

  8. Ability to meet deadlines and complete tasks efficiently within given timelines.

  9. Self-motivated, well-organized, and analytical in approach to problem-solving.

  10. Strong sense of responsibility, initiative, and commitment to continuous improvement.

Job Types: Full-time, Permanent

Pay: Php20, Php22,000.00 per month
