Key Responsibilities

Executive & Administrative Support

  • Provide direct executive assistant support to the President, including calendar management, meeting coordination, and travel arrangements
  • Prepare reports, presentations, and correspondence on behalf of the President
  • Act as a liaison between the President and internal teams, clients, and external partners
  • Handle confidential and sensitive information with professionalism and discretion
  • Assist in tracking executive priorities, deadlines, and follow-ups

Business Development & Sales Support

  • Build, maintain, and manage a personal lead database to support sales outreach and prospecting efforts
  • Assist with lead generation, qualification, and follow-ups for business development initiatives
  • Support event networking activities, including prospect research and post-event outreach
  • Track sales pipeline activity and maintain accurate CRM records

Billing, Documentation & Compliance

  • Handle monthly billing processes, including invoice preparation, review, and coordination
  • Prepare, organize, and maintain legal documentation such as contracts, agreements, and compliance records
  • Monitor compliance requirements and ensure all documentation remains accurate and up to date
  • Coordinate with finance and legal teams to address billing or documentation issues

Operations & Coordination

  • Maintain organized digital and physical filing systems across executive, sales, and compliance documents
  • Support cross-functional coordination between executive leadership, HR, accounting, and other department
  • Assist with special projects and operational initiatives as assigned by the President

Qualifications

  • Bachelor's degree in Business Administration, Management, Marketing, or a related field (or equivalent experience)
  • Strong ability to manage calendars, priorities, and executive-level communications
  • Familiarity with billing, invoicing, legal documentation, and compliance processes
  • Excellent written and verbal communication skills
  • High attention to detail, discretion, and organizational skills
  • Ability to multitask effectively in a fast-paced, executive-level environment
