Role Overview
We are seeking an experienced and highly reliable Online Business Manager (OBM) to take ownership of operations, projects, systems, and team coordination so the business can move forward with clarity, momentum, and consistency.
This role is ideal for someone who thrives on turning ideas into action, building systems that run without constant follow-up, and acting as the central point of accountability across the business. You will work closely with the Founder, taking ideas and strategic direction and ensuring they are executed efficiently, on time, and to a high standard—without the need for micromanagement.
Success in this role means the Founder can confidently "close mental tabs," knowing priorities are clear, work is progressing, and nothing is falling through the cracks.
Key Responsibilities:
Operations & Team Management
- Act as the primary point of contact for VA team members, suppliers, and contractors
- Delegate tasks clearly and manage follow-through across the team
- Respond to team questions and guide decision-making (e.g., customer issues, workflow clarifications)
- Set timelines, create and maintain SOPs, and ensure processes are followed
- Be the final quality check on all outgoing work (links, copy, layouts, assets)
- Review and provide feedback on copy, layouts, Canva assets, and slides before final approval
- Create, refine, and document systems, processes, and operational workflows
- Maintain visibility over all active initiatives, offers, and tripwires
Administration
- Oversee inbox management and ensure timely responses
- Manage the Founder's diary and scheduling
- Ensure content is created, approved, and published on time
- Keep communication flowing internally so nothing stalls at decision points
Project Management
- Capture ideas from weekly discussions and translate them into clear workflows
- Build and manage project plans in ClickUp or Trello with clear priorities and timelines
- Ensure tasks are progressing and address blockers proactively
- Manage launches, live events, and in-person events (including vendor and supplier coordination)
- Moderate live sessions and support launch execution
- Balance competing priorities while maintaining momentum
Delivery & Client Experience
- Oversee mastermind onboarding and offboarding processes
- Ensure monthly action plans are delivered on time (existing process provided)
- Host co-working sessions as required
- Monitor and improve customer experience across touchpoints
- Evaluate onboarding and offboarding journeys and recommend improvements
- Ensure announcements, email communications, and updates are sent accurately and on schedule
Automations & Funnel Builds
- Build and manage evergreen funnels, email sequences, and tagging systems
- Set up and maintain automations using Zapier and related tools
- Create and troubleshoot ManyChat flows
- Build and edit landing pages and website pages as needed
- Set up UTM tracking and review funnel performance
- Monitor data and reporting to identify gaps and optimisation opportunities
Data & Reporting
- Track and report on key metrics such as churn, MRR, and engagement
- Provide insights and recommendations based on performance data
- Ensure reporting is accurate, timely, and actionable

- Confident leading, delegating to, and supporting a remote team
- Strong technical aptitude with funnels, automations, and integrations
- Strong attention to detail and commitment to accuracy
- Design awareness and ability to provide constructive feedback
- Marketing understanding and ability to support launches and content workflows
- High level of ownership and accountability
