Job Overview

As a Registration Officer, you are responsible for overseeing payment validation, registration processes, accounting administration, and digital operations. This role requires keen attention to detail, strong analytical skills, and proficiency in digital tools to ensure seamless event and business operations. You will play a critical role in maintaining accurate records, optimizing registration workflows, and leveraging technology to improve efficiency. This role may also involve onsite support during events (e.g., kit claiming) and assisting in assembling and managing a team for production-related fulfillment tasks.

Job Responsibilities:

Payment Validation and Reconciliation

  • Cross-check payment amounts with expected fees.
  • Confirm that payment dates align with registration timelines.
  • Match payment receipts with registration records.
  • Resolve discrepancies between payment records and registration details.
  • Notify registrants of payment confirmation.
  • Follow up on pending or failed payments.
  • Provide assistance to registrants with payment issues or queries.

Data and Record Management

  • Maintain accurate financial records of all transactions related to registrations.
  • Prepare financial statements and reports for internal and external stakeholders.
  • Validate registration and payment data periodically to ensure accuracy.
  • Collect, organize, and analyze large data sets from registration systems and logistics operations.
  • Generate performance reports and dashboards to track trends and identify areas for improvement.

Digital Operations & Technology Management

  • Generate and distribute e-certificates, ensuring consistency and accuracy.
  • Maintain and optimize digital tools and systems, ensuring integration and reliability.
  • Test and troubleshoot portals, software tools, and registration systems to ensure smooth functionality.
  • Leverage advanced Excel tools for operational analysis and reporting.

Onsite Registration & Logistics

  • Set up and manage the registration or race collection area.
  • Organize volunteers or staff to assist with registration and item distribution.
  • Ensure an efficient and orderly process, avoiding long wait times and congestion.
  • Assist with inventory management and optimize tracking systems for improved logistics accuracy and visibility.
  • Participate in onsite events such as kit claiming and help manage logistics or staff assigned for these activities.
  • Support production tasks, including assembling fulfillment teams to prepare items or race kits prior to event execution.

Proactive Process Improvement & Collaboration

  • Identify inefficiencies in registration and digital operations and recommend solutions.
  • Develop strategies to enhance speed, accuracy, and overall efficiency in workflows.
  • Work closely with cross-functional teams to align digital operations with business objectives.
  • Provide regular reports to managers on operational performance.

Tools and Systems

  • Payment Gateways: Familiarity with various payment gateways and methods.
  • Registration Systems: Experience with registration management systems and databases.
  • Reporting Tools: Ability to use reporting tools such as Excel, Google Sheets, and dashboarding tools for analysis.
  • Inventory & Logistics Tools: Basic knowledge of inventory tracking systems.

Skills and Competencies

  • Attention to Detail: High level of accuracy in verifying and processing payments.
  • Analytical & Problem-Solving Skills: Ability to analyze financial data and operational trends to improve processes.
  • Communication Skills: Strong ability to coordinate with registrants, financial institutions, and internal teams.
  • Organizational Skills: Ability to manage multiple tasks, deadlines, and digital systems efficiently.
  • Tech-Savvy Mindset: Comfortable with data-driven decision-making and digital tools.
  • Onsite Event Flexibility: Willing to be hands-on during event kit claiming, registration, and production preparations when required.
  • Team Management Support: Able to assist in assembling and managing a support team for fulfillment or registration-related needs.

Qualifications:

  • A Bachelor's degree in Business Administration, Operations Management, or a related field. (Comm, Educ)
  • Proactive and tech-savvy with an advanced proficiency in Excel (spreadsheet and/or intermediate database skills).
  • Excellent organizational and communication skills.
  • Willing to support onsite registration efforts and assist in event production tasks when needed.

Job Types: Full-time, Permanent

Pay: Php20, Php25,000.00 per month
