Qualifications:

  • Graduate of Business Administration, Office Management, or any relevant degree
  • At least 2 years of experience in an administrative role
  • Must be proficient in MS Word, Excel, PowerPoint, and Outlook
  • Has working knowledge of Adobe Acrobat
  • Proficient in CRM Software (Salesforce) or other CRM/Workflow platforms
  • Experience with machine learning techniques
  • Strong attention to detail with excellent proofreading and editing skills
  • Familiarity with document management systems and data entry procedures
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Strong organizational, critical thinking, and problem-solving skills
  • Excellent written and verbal communication skills
  • Must be willing to work in a hybrid arrangement and in a night shift schedule

Responsibilities:

  • Create, format, edit, and proofread documents such as reports, proposals, letters, and presentations, ensuring accuracy and adherence to company guidelines, reviewing for grammatical, typographical, and formatting errors, and making necessary corrections to ensure high-quality output (Non-Disclosure Agreements, Master Service Agreements, Statements of Works, Audit Reports, and other contracts)
  • Edit and proofread proposals and contracts for consistency, grammar, and compliance with firm and regulatory standards
  • Coordinate with manager liaisons to maintain document templates and style guides
  • Track and process all incoming contracts through Salesforce and other internal systems
  • Prepare invoices, process purchase orders, and manage automated billing schedules
  • Organize, schedule, and manage various meetings (create agendas, take accurate minutes, document action items, and provide in-meeting technical support, etc)
  • Be responsive to email, telephone, or face-to-face client and internal inquiries
  • Ability to handle sensitive information in a confidential manner
  • Special projects and additional responsibilities as assigned, such as but not limited to reporting, data entry, and other team support tasks as needed
