Administrative Assistant

PRIMARY OBJECTIVE
The Administrative Assistant provides essential support to ensure the smooth and efficient operation of the office and related processes. The role involves managing office tasks, assisting in planning, coordinating administrative activities, and providing support to team members of the company.
Key Responsibilities:
Office Management
- Daily monitoring of the office facilities and keeping the building maintenance and security.
- Management of non-trade supplies.
- Handling adhoc office duties/scheduling of meetings, answering the phone, organizing files, and drafting and sending letters.
Executive Support
- Calendar Management of Chief Operating Officer.
- Planning and coordinating meeting arrangements, including travel and accommodation of the management level.
- Facilitate the admin part of all expense reports prior to submission to finance.
- Monthly report consolidation and timely submission.
Operational Committee Support
- Processing and monitoring of cash advances and expense reports and other related expenses of sales.
- Support to all related trainings and activities.
- CME consolidation, scheduling, and all logistics related to the activity, including processing of honorarium and KOLs servicing.
- Other support needed by the operations.

Key Requirements:
- Bachelor's Degree of Business Administration, Office Administration, or any related course
- At least 2 years of experience in an administrative role is preferred, ideally within an office environment.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in office software (Microsoft Office Suite, scheduling tools).
- Ability to work independently and handle confidential information with discretion.
- Customer service-oriented with a professional demeanor.
