We are looking for a proactive and personable Admin Assistant who will serve as the bridge between our design team and our valued clients, ensuring a smooth and professional experience from inquiry to project completion.

  1. Client Communication Management

    -Answer and respond to client inquiries via phone calls, Viber, WhatsApp, email, and social media channels in a timely and professional manner.

    -Record and organize all client inquiries, ensuring all necessary details are captured for quotation preparation (e.g., client name, project location, contact details, requirements, and timeline).

    -Maintain a courteous and service-oriented approach in every client interaction.

  2. Sales Documentation and Filing

    -Prepare, encode, and organize sales documents, including client information sheets, quotation requests, and follow-up reports.

    -Maintain accurate filing (digital and hard copies) of all client correspondence, quotations, and sales records.

    -Ensure all sales-related documents are properly updated, labeled, and easily retrievable for reference.

  3. Quotation and Coordination Support

    -Coordinate with designers and project teams to gather the necessary data or measurements for quotation preparation.

    -Forward complete client details to the Client Engagement Manager or Design Solutions Officer for pricing and proposal development.

    -Monitor and follow up on pending quotations and ensure clients receive timely updates.

  4. Meeting and Schedule Management

    -Schedule and organize Zoom meetings or in-person appointments between clients and the Sales/Design team.

    -Ensure all meeting details are properly communicated to all attendees and included in the team calendar.

    -Prepare basic meeting notes, reminders, and follow-up actions when required.

  5. Sales Support and Monitoring

    -Keep track of inquiries, quotations, and follow-ups using the company's sales tracker or database.

    -Provide regular updates to the Sales Head regarding new inquiries, ongoing negotiations, and pending follow-ups.

    -Assist in sending out email blasts, promotional messages, or client recall campaigns when required.

  6. Internal Coordination

-Communicate and coordinate with internal departments (Design, Marketing, Admin) to ensure smooth flow of sales-related information.

-Support the Sales Department with administrative tasks, including document preparation, printing, and data encoding.

  1. Customer Service and Follow-up

    -Ensure clients receive prompt updates and feedback on their inquiries or quotations.

    -Maintain professionalism and positive tone in all communication to promote client satisfaction and trust.

Qualifications

  • Graduate of Marketing, Business Administration, Communication, or related field.
  • With or without experience (fresh graduates are encouraged to apply).
  • Excellent communication and interpersonal skills.
  • Confident, approachable, and client-focused personality.
  • Strong organizational and multitasking abilities.
  • Interest or background in design/creative industries is a plus.
