Executive Assistant to Chief Executive Officer

Job Summary:
The Executive Assistant (EA) to the CEO will serve as a trusted professional partner who ensures smooth, efficient, and strategic support to the organization's highest office. This role will provide end-to-end executive support including calendar and schedule management, project coordination, preparation of high-level presentations, and effective communication with internal and external stakeholders. The EA will also act as an extension of the CEO in managing priorities, maintaining confidentiality, nurturing strong professional relationships, and enabling effective decision-making.
This role is required to report onsite in Iloilo.
Key Responsibilities:
- Manage the CEO's complex calendar, travel, events, and appointments.
- Prioritize requests and balance competing demands to optimize the CEO's time.
- Prepare and organize documents, reports, and presentations for meetings.
- Handle and screen emails, calls, and memos with professionalism and confidentiality.
- Coordinate timelines, deliverables, and documentation for cross-functional projects.
- Conduct research, gather data, and provide clear summaries for decision-making.
- Track and follow up on action items to ensure timely completion.
- Serve as the CEO's main liaison with internal and external stakeholders.
- Build and maintain professional relationships to support business operations.
- Manage sensitive information with diplomacy, tact, and discretion.
- Draft executive correspondence, meeting minutes, and briefing notes.
- Maintain organized and secure records, filing systems, and databases.
Client preference:
- Some who speaks Hilgaynon or Ilonggo dialect due to PR with public and private clients.
- A minimum of 10 years EA experience. Public relations and/or Marketing experiences in the early years of corporate practice is an advantage.
- Professionally mature and can represent the Office of the Executives in meetings, public delegations and engagements.
