We're looking for a Zapier & AI Automation Specialist to help us take our systems to the next level This is a project-based, remote role where you'll work with our team to:

  • Streamline workflows,

  • Integrate systems like Podium, Calendly, CRMs, and messaging platforms, and

  • Introduce AI-driven efficiencies across clinical and business processes.

What You'll Do

  • Audit current automations & identify improvement opportunities

  • Build and optimize workflows in Zapier, Make, or Power Automate

  • Integrate Podium with external platforms (Calendly, CRMs, payments, communications)

  • Recommend and implement AI tools (e.g., for meeting notes, email drafting, patient workflows)

  • Troubleshoot and maintain reliability of all workflows

  • Document processes and provide clear handover for the team

  • Train our team on how to manage and expand automations & AI tools

What We're Looking For

  • Proven Zapier expertise (must-have)

  • Experience with Podium or similar CRM tools

  • Strong understanding of APIs and webhooks

  • Familiarity with AI tools (Otter, Fyxer, ChatGPT, etc.) and ability to suggest best-fit solutions

  • Strong problem-solving and communication skills

  • Self-starter, able to work independently and deliver results
