Job Summary

The Spa Front Desk Receptionist is the face of the spa, responsible for providing exceptional customer service and ensuring a positive and seamless experience for all guests. They manage all front desk operations, including client greetings, appointment scheduling, and payment processing.

Duties and Responsibilities
  • Client Management:

  • Greet all guests with a warm, friendly, and professional demeanor.

  • Check clients in and out for their appointments, ensuring all necessary information is entered into the computer system.
  • Answer guest questions regarding spa services, products, and packages.
  • Handle client feedback and resolve any issues or complaints professionally and courteously.
  • Appointment and Scheduling:

  • Accurately book, change, and cancel spa appointments using the scheduling software.

  • Manage the spa's calendar to optimize scheduling for both clients and therapists.
  • Communicate with therapists and other spa staff to ensure they are aware of their daily schedules and any changes.
  • Administrative and Financial Tasks:

  • Answer phone calls and respond to emails in a prompt and professional manner.

  • Process payments for services and retail products, handling cash and credit card transactions.
  • Maintain accurate records of client information and transactions.
  • Assist with retail sales, promoting products and services to clients.
  • Perform opening and closing procedures, including daily cash reconciliation.
  • Operations and Maintenance:

  • Maintain a clean, organized, and welcoming reception and retail area.

  • Monitor and manage inventory of front desk supplies and retail products.
  • Assist with other administrative or operational tasks as needed by management.
  • Ensure the spa facilities are prepared for clients, including lighting, music, and cleanliness.
Required Skills and Qualifications
  • Experience:

  • Previous experience in a customer service or receptionist role, preferably in a spa, salon, or hospitality environment.

  • Soft Skills:

  • Excellent interpersonal and communication skills (verbal and written).

  • A friendly, welcoming, and professional personality.
  • Ability to multitask and remain calm in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach to client needs.
  • Detail-oriented and highly organized.
  • Ability to work both independently and as part of a team.
  • Technical Skills:

  • Proficiency with computer software, including Microsoft Office.

  • Experience with booking and scheduling software is a plus.
  • Basic math and money-handling skills.
Work Environment

This role requires the ability to stand for extended periods, and may involve working evenings, weekends, and holidays depending on the spa's hours of operation. A genuine passion for the wellness and beauty industry is a significant advantage.
