Legal Assistant

SCOPE OF WORK:
- Answer, screen, and refer phone calls to party concerned, make outgoing calls for superiors
- Receive and sort incoming mails/e-mails, referring to superiors those requiring attention
- Ensure efficient and effective dissemination of information
- Route or deliver (if necessary) outgoing mails, e-mails, communications, reports, and other materials, and return borrowed records
- Prepare and organize databases, reports, and tracking systems
- Manage calendar and scheduling of appointments, hearing schedules, and due dates for filing in court or other government agencies and remind superiors of these
- Assist in preparing reports and correspondences such as notices/agenda/minutes of meetings, certificates, affidavits, letters, motions for extension, annexes/exhibits to pleadings
- Scan documents for attachment to mails/e-mails to be sent out by superiors
- Take dictation and transcribe notes
- Provide complete and accurate information on all forms that are submitted to units/departments for processing
- Make reservations for venue/equipment and prepare other requirements (sufficient printed copies, etc.) for meetings
- Submit requests/liquidations to the accounting department for processing
- Maintain information and documents for regular use: IBP no., PTR, CTC, Roll no., MCLE no., and other necessary information
- Perform such other functions and duties as may be assigned and/or endorsed by the immediate head in relation to legal & operational matters
QUALIFICATIONS:
- Must be a college graduate
- At least 1-2 years of work experience in a legal department or a law firm
- Must be able to effectively multi-task, manage time-sensitive and confidential documents and have exceptional organizational skills in a fast-paced environment
- Good verbal and written communication skills
- Keen attention to details
- Highly organized, structured, and process-driven
- Strong teamwork skills, comfortable in a highly collaborative team culture and a hierarchical team structure
- Highly professional, self-motivated, efficient, results-oriented
- Can-do attitude with a passion for learning
- Proficient in Microsoft Office (Word, Excel, and PowerPoint)
- Can start immediately (preferred)
