Position Summary:
The Administrative Assistant provides essential administrative and customer service support to ensure the smooth day-to-day operations of our service and appliance business. This role involves coordinating service appointments, handling customer inquiries, maintaining records, and assisting management with administrative tasks. The ideal candidate is highly organized, detail-oriented, and comfortable in a fast-paced, service-oriented environment.
Key Responsibilities:
- Manage incoming phone calls and emails, providing prompt and professional customer support.
- Schedule and coordinate appliance service appointments and technician dispatches.
- Maintain accurate customer records, service logs, and equipment databases.
- Prepare service estimates, invoices, and work orders in coordination with the operations team.
- Support the sales and service departments with documentation, data entry, and communication.
- Monitor and order office supplies and parts inventory when needed.
- Contribute to maintaining a professional, efficient, and customer-focused office environment.
Qualification
- High school diploma or equivalent required; Associate's degree or office administration certificate preferred.
- 2+ years of administrative experience, preferably in a service, repair, or retail industry.
- Strong computer skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to work independently and handle confidential information responsibly.
