Job Summary:
The HR and Admin Associate will be responsible for assisting in the efficient management of timekeeping and payroll processes, as well as supporting various administrative functions. These include inventory management of office supplies and corporate giveaways, vehicle registration and maintenance coordination, purchasing, and proper documentation and file management.
Key Responsibilities:1. Timekeeping & Payroll Support
- Monitor and validate employee attendance, leaves, and overtime records.
- Ensure timely and accurate preparation of timekeeping data for payroll processing.
- Coordinate with payroll service providers or finance team to resolve discrepancies.
- Maintain updated employee records related to attendance, shifts, and schedules.
2. Administrative Support
- Monitor and manage inventory levels of office supplies and corporate giveaways.
- Coordinate replenishment orders and ensure timely delivery of supplies.
- Maintain records of inventory receipts and distributions.
- Manage supplier and vendor relationships related to office and giveaway supplies.
3. Vehicle Management
- Monitor and process vehicle registration renewals and related documentation.
- Schedule and coordinate vehicle maintenance and repairs.
- Maintain vehicle logs and records of repairs, registrations, and insurance.
4. Purchasing
- Source and request quotations from suppliers for various admin-related purchases.
- Prepare purchase requisitions and ensure adherence to company procurement policies.
- Track purchases and deliveries, ensuring completeness and accuracy.
5. File and Document Management
- Maintain organized and up-to-date physical and digital records.
- Ensure secure filing of employee records, payroll documents, vehicle papers, and admin files.
- Assist in preparation of reports and documentation for audits or compliance checks.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- At least 3 years of experience in HR and/or administrative support roles.
- Familiarity with timekeeping and payroll systems (HR SPROUT) is preferred
- Strong attention to detail, organization, and problem-solving skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to handle sensitive and confidential information with integrity.
- Excellent communication and coordination skills.
Job Type: Full-time
Pay: From Php20,000.00 per month
