Purpose of the Position:

Supports the recruitment process for all crew and for Principal. To ensure that all Crew data were encoded accurately and complete records be uploaded and entered into the Danaos System for proper identification and traceability of records. Assist in the processing of documents for submission to DMW and authorized representative of Sun Ocean Manning & Ship Management acting as Assistant Liaison Officer.

Position Summary:

The Encoder is responsible for the accurate update of all Seafarers' files as endorsed by Recruitment & Operations Departments.

The Encoder is responsible for identifying and report any malfunction of the Electronic Database platforms during the day-to-day operation.

Core Job Functions: The Encoder encodes/archives/updates seafarers' related data which is given on daily basis by the Recruitment & Operations Departments.

  • The Asst. Encoder along with the Crew Operator is responsible for the secured distribution & safekeeping of Seafarers' documentation.
  • The Asst. encoder Encoder reports any malfunction of the system might occur to the respective administrator.
  • In-charge of updating and maintaining principal database program.
  • Ensure completeness of Principal forms prior uploading to Danaos system
  • Update and ensure that all documents forwarded from Operations Department were encoded and upload to the system after checking if all completed and duly signed by responsible staff.
  • Update any Principal instructions for Danaos use and completion.
  • Familiarize and assist In-charge of updating principal's database program for the following:

· Crew list

· Flag Documentations (Acknowledgements, CRA, SIRB, GMDSS)

· Training Certificates

· National Documents (Passport, SIRB, COP, COC, COE)

  • Medical Certificates

· Flag Medical Certificate

· Other documents (e.g. vaccination, visa)

· Principal SMS Pre-joining Forms

· Principal SMS Disembarkation forms /De-Briefing forms

  • Perform other monitoring in Danaos the encoding and checking of documents by the compliance purposes and documents prior dispatch.
  • Perform functions assigned by the Encoder
  • Assist in the Training coordinator in updating the Training Requirements of line-up seafarers
  • Contact the seafarers for the required Trainings
  • Update the Data Base on the In-House Requirements per Principal
  • Report to the Training coordinator completed tasks and receive task to be completed.
  • Responsible for the quality of work in compliance with ISO 9001:2015 standard

Minimum Educational Requirement and Core Competencies:

  • College Level
  • Understanding of Seafarers' documentation.

  • Systematic and details oriented

  • English proven knowledge, skills and understanding

  • Knowledge of computer operating systems and office software and applications

Significant Factors:

  1. Ability to work extra hours.

  2. Ability to coordinate with the Operations Personnel

  3. Good communication skills and team work ability.

  4. Flexible with assignments and urgent tasks.
