Purchasing Staff

The Purchasing Staff is responsible for sourcing, negotiating, and purchasing materials, equipment, and services required by the company. This role ensures timely procurement, cost efficiency, and adherence to company policies and quality standards.
Key Responsibilities1. Procurement & Sourcing
- Identify, evaluate, and select reliable suppliers.
- Request and review price quotations, proposals, and tender documents.
- Negotiate pricing, terms, and contracts to secure the best value.
2. Order Management
- Prepare and issue purchase orders (POs) in accordance with company standards.
- Ensure timely delivery of goods and monitor shipment schedules.
- Coordinate with internal departments (production, warehouse, finance) to validate requirements.
3. Supplier Management
- Maintain strong relationships with existing vendors.
- Evaluate vendor performance based on quality, delivery time, and responsiveness.
- Resolve discrepancies related to shipments, invoices, or product quality.
4. Inventory & Records
- Monitor stock levels and coordinate replenishment.
- Maintain accurate purchasing records, price lists, and supplier databases.
- Track and report procurement KPIs (cost savings, delivery accuracy, etc.).
5. Compliance & Administration
- Ensure purchases comply with company policies and budget limits.
- Assist in developing and implementing procurement guidelines.
- Support audits and documentation requirements.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or related field.
- Experience in purchasing or procurement (1–3 years preferred).
- Strong negotiation, communication, and analytical skills.
- Knowledge of procurement processes and supply chain principles.
- Proficiency in MS Office; experience with ERP systems is an advantage.
