Key Responsibilities:

1. Accounts Payable & Receivable

  • Input and manage all vendor bills and client invoices.
  • Track payments, follow up on overdue items, and reconcile bank statements.
  • Maintain organized financial documentation and coding consistency.
  • Flag potential overbilling or duplicate charges for review.

2. Payroll & Expense Coordination

  • Track payroll data for U.S. and remote teams using designated systems (e.g., Everee, GoLance).
  • Ensure payroll submissions are accurate and on time.
  • Reconcile expense reimbursements and maintain detailed payroll records.

3. Month-End Close & Financial Reporting

  • Reconcile QuickBooks accounts, receipts, and statements monthly.
  • Support leadership by preparing accurate month-end summaries and variance reports.
  • Identify gaps, duplicate entries, or anomalies before reports are finalized.

4. Financial Hygiene & Cost Control

  • Maintain clean, updated ledgers and documentation across all brands.
  • Audit vendor subscriptions and recurring expenses.
  • Provide insights to reduce unnecessary costs and improve financial efficiency.

5. Collaboration & Communication

  • Work closely with the Head of Administration and U.S. leadership teams.
  • Deliver timely updates on cash flow, outstanding balances, and key financial health indicators.
  • Maintain confidentiality and integrity in all financial transactions.

What We're Looking For:

  • Experience: 2+ years of bookkeeping or financial operations experience (QuickBooks Online preferred).
  • Technical Skills: Proficient in QuickBooks, Excel/Google Sheets, , or similar platforms.
  • Detail-Oriented: Strong ability to spot inconsistencies, errors, and anomalies quickly.
  • Communication: Excellent written and verbal English communication for collaborating with U.S. teams.
  • Organization: Exceptional ability to manage multiple ledgers, vendors, and reporting deadlines.
  • Growth-Minded: Eager to learn, adapt, and develop into a senior financial operations role.
