Job Description:

We are seeking a highly organized and detail-oriented Admin Specialist to join our dynamic team at Novocore Pharma Inc., a leading pharmaceutical company. The ideal candidate will play a crucial role in supporting the daily operations of our office, ensuring efficient office management, and maintaining accurate documentation.

Key Responsibilities:

  • Oversee day-to-day administrative functions, ensuring smooth operations within the office environment.

  • Manage office resources, including supplies, equipment, and facility maintenance, to support team productivity.

  • Coordinate and maintain documentation systems, ensuring compliance with pharmaceutical industry standards and regulations.

  • Assist in the preparation and distribution of reports, presentations, and important communications across departments.

  • Monitor and support staff schedules, making adjustments as needed to align with business needs.

  • Facilitate onboarding and training processes for new employees, providing guidance on office protocols and company policies.

  • Collaborate with cross-functional teams, including HR, finance, and operations, to enhance workflow and communication.

  • Support management with administrative tasks and special projects as requested, demonstrating a proactive approach to problem-solving.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field preferred.

  • Proven experience as an Administrative Specialist or in a similar administrative role within a pharmaceutical or healthcare setting.

  • Supervisory experience is essential, with a background in office management and documentation handling.

  • Strong understanding of regulatory compliance and documentation practices within the pharmaceutical industry is a plus.

  • Excellent organizational skills and meticulous attention to detail.

  • Outstanding communication and interpersonal skills, with the ability to work collaboratively.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and relevant office software.

  • Ability to manage multiple priorities and thrive in a fast-paced environment.

  • Problem-solving abilities and a proactive mindset.
