About the Opportunity

We are seeking a highly organized and detail-oriented
Logistics & Freight Operations Coordinator
to support the Australian operations of our client, Ramos Garcia and Associates Pty Ltd. This role is central to managing the end-to-end movement of freight, ensuring efficiency, compliance, and accurate documentation within the transport and logistics industry.

Key Responsibilities

  • Freight Documentation Management:
    Prepare, review, and process all necessary documentation for freight movements, including Bills of Lading (BOL), commercial invoices, customs declarations, and manifests.
  • Operational Coordination:
    Liaise daily with Australian suppliers, freight carriers (air, sea, and land), customs brokers, and warehouses to coordinate pickups, deliveries, and tracking.
  • Booking and Scheduling:
    Manage and schedule freight bookings, ensuring optimal route planning and carrier selection for cost-effectiveness and timely delivery.
  • Tracking and Reporting:
    Proactively track shipments and provide timely updates and accurate reports on shipment status, delays, and successful deliveries to the Australian team.
  • Cost Allocation & Invoicing:
    Assist in verifying supplier invoices against quotes, allocating costs to specific jobs, and supporting the internal billing process.
  • Compliance:
    Ensure all operational procedures and documentation adhere to relevant local and international trade and customs regulations.

  • Industry Experience:
    Proven experience in freight forwarding, cargo operations, or logistics administration is essential.
  • Attention to Detail:
    Meticulous organizational skills and an unwavering focus on accuracy in data, documentation, and compliance.
  • Communication:
    Excellent verbal and written English communication skills are required for liaising effectively with Australian partners, carriers, and internal teams.
  • Technical Proficiency:
    Comfortable using job management software, tracking systems, and standard office applications (MS Excel/Google Sheets).
  • Proactive Mindset:
    Ability to anticipate logistical issues, troubleshoot problems independently, and provide solutions under pressure.
