Job Summary

The Senior U.S. Payroll Specialist is responsible for the accurate, timely, and compliant processing of payroll for a multi-state workforce. This role oversees end-to-end payroll execution that ensures compliance with applicable payroll laws, and partners closely with HR and Accounting.

Job Description


• Processes end-to-end payroll accurately and on time for all employees using Paycom.


• Reviews payroll inputs, earnings, deductions, and changes to ensure completeness and accuracy.


• Ensures compliance with federal, state, and local payroll laws, including multi-state wage and hour requirements.


• Oversees payroll tax accuracy, reconciliations, and coordination with Paycom and external tax vendors for filings and payments.


• Reviews and validates payroll registers prior to submission.


• Coordinates with HR on new hires, terminations, benefits changes, leave administration, and employee data accuracy.


• Handles payroll-related inquiries from employees and resolves discrepancies promptly.


• Supports year-end payroll processes, including W-2 review and distribution.


• Maintains payroll documentation, procedures, and internal controls.


• Supports internal and external audits by providing payroll schedules, reconciliations, and required documentation.


• Identifies process improvement opportunities and works with Paycom administrators and internal stakeholders to implement solutions.

Required Qualifications


• Has knowledge in federal, state, and local payroll regulations.


• Experience with payroll tax reconciliations and year-end reporting.


• Work independently in a remote environment while meeting strict deadlines.


• Demonstrates strong attention to detail and strong organizational skills.


• Demonstrates high level of professionalism and discretion when handling confidential information.


• Clear and coherent both written and verbal communication skills in English.

Screening Criteria


• Bachelor's degree in Accounting, Finance, Business, or a related field.


• Minimum of five (5) years of U.S. payroll experience, including experience in a payroll lead or senior capacity.


• Experience with U.S. payroll systems such as ADP, Rippling, Kronos, Workday, or equivalent platforms.


• Experience processing multi-state payroll.


• Experience in Microsoft Excel.


• Must have stable employment history.
