Role Description:

Responsible for supervising the Procurement Associate/s and serving as main point of contact for designated Business Unit while managing (1) procurement training, (2) back-office implementation, (3) analytics and reporting, (4) policy updates, and process optimization, (5) other procurement ad hoc activities.

The Procurement Officer will also the oversee dashboard creation, report generation, policy updates, and process improvements across supported business units. The role leverages analytics insights to enable informed decisions that drive long-term procurement growth, ensuring efficient operations aligned with business goals.

I. Essential Functions:

  • Team Supervision and Designated Client Management:

    • Supervises Procurement Associate/s within the team, ensuring tasks are completed efficiently and aligned with organizational goals.

    • Serves as the main point of contact for designated shared services clients, facilitating procurement-related inquiries and fostering effective communication.

  • Procurement Training Center Management:

    • Assists with the development and improvement of training materials related to procurement processes and tools.

    • Conducts training sessions to shared service clients to ensure that all procurement personnels are aligned with best practices.

    • Conducts quarterly Ariba Network training for suppliers to ensure effective usage of the platform and alignment with procurement processes.

  • Fit-Gap Analysis and Back-Office Implementation:

    • Conducts regular fit-gap analysis to identify opportunities for process improvements and tailors the application process to better align with the specific needs of each business unit.

    • Oversees and manages the implementation and phasing of back-office activities including Accreditation/Re-accreditation, Catalog, and Contracts.

  • Analytics and Reporting:

    • Drives data interpretation and insights by utilizing analytical tools such as MS Excel and PowerBI to create and maintain dashboards.

    • Develops and maintains regular reports to track opportunities and key performance indicators (KPIs) across procurement functions.

    • Provides evidence-based recommendations for improvements in procurement processes.

    • Prepares and conducts monthly / quarterly reviews and presentation with business units to ensure that procurement initiatives are aligned with business objectives and performance goals.

  • Process Optimization and Policy Updates:

    • Cascades and implements process improvements across procurement functions and collaborates with various business units to align operational goals.

    • Continuously reviews and updates procurement policies to align with evolving business needs and industry best practices.

  • Support Audit and Other Ad hoc Activities:

    • Provides audit support as required, ensuring compliance with procurement policies and procedures.

    • Serves as a backup to team members during periods of unavailability, ensuring seamless continuity of shared services and timely completion of tasks.

    • Manages procurement events and performs other ad hoc activities as needed to support the department's objectives and business requirements.
