We are seeking a detail-oriented and organized Retail Administrator to support the smooth operation of retail business. The Retail Administrator will play a key role in managing administrative tasks, ensuring efficient stock management, supporting sales teams, and contributing to the overall operational success of the retail store. This role requires excellent organizational, communication, and problem-solving skills to ensure day-to-day operations run efficiently.

Reporting Relationship

Directly reports to Retail Manager

Key Responsibilities:

  • Administrative Support: Provide administrative assistance to the retail management team, including handling emails, phone calls, and correspondence.
  • Inventory Management: Assist with stock management, ensuring accurate records of inventory levels, coordinating with suppliers for restocking, and managing stock discrepancies.
  • Sales Support: Monitor daily sales activities and ensure that all sales documentation is accurate and up-to-date. Help prepare sales reports and analyze trends to support business decisions.
  • Customer Service: Handle customer inquiries and complaints, ensuring a high level of customer satisfaction.
  • Data Entry and Reporting: Maintain accurate records of sales, inventory, and other retail metrics, preparing regular reports for management.
  • Scheduling and Staff Coordination: Assist with scheduling staff shifts, ensuring adequate coverage and efficient workforce management.
  • Order Processing: Manage online and in-store order processing, including tracking deliveries and ensuring timely stock replenishment.
  • Compliance and Documentation: Ensure that all retail operations adhere to company policies, procedures, and industry regulations. Maintain up-to-date records for auditing purposes.
  • Store Operations Support: Collaborate with the retail team to maintain store cleanliness, organization, and presentation in line with brand standards.
  • Vendor and Supplier Liaison: Communicate with suppliers to ensure timely deliveries and resolve any issues related to inventory or orders.
  • Expense Management: Assist in tracking store expenses and help manage budgets, ensuring that operations are cost-effective.

Qualifications

  • High school diploma or equivalent; a college degree is a plus.
  • Proven experience in retail administration or a similar administrative role.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and retail management software.
  • Ability to handle confidential and sensitive information.
  • Strong attention to detail and accuracy.
  • Customer-focused with a problem-solving mindset.
  • Ability to work both independently and as part of a team.
  • Experience with inventory management systems is preferred.
  • Knowledge of retail operations and industry best practices is a plus.
