The Opportunity:

We are currently seeking a Commercial Administrator for a full-time, work-from-home role in the Philippines. Equipment is provided, and you will work closely with our Australian client to support the Commercial Department through data analysis, systems support, and commercial administration. Your role will involve analysing data within the Syrinx hire system and related financial platforms to support purchasing decisions, supplier negotiations, and cost-control initiatives. You will manage and maintain accurate property and asset records, support warranty claims, purchasing activities, insurance documentation, and compliance tracking. You will also assist with audits and inspections, ensure timely follow-ups, and help improve reporting processes and data accuracy to support informed commercial decision-making and smooth day-to-day operations.

Key Responsibilities:

Commercial Data Analysis & Insights

• Extract, analyse, and interpret data from Syrinx hire software and associated financial systems.
• Analyse supplier spend, pricing structures, and purchasing trends across all branches.
• Review product usage, hire frequency, and cost trends to identify inefficiencies and cost-saving opportunities.
• Prepare clear and meaningful reports, analysis packs, and Excel-based spreadsheets to support supplier negotiations and commercial decision-making.
• Identify pricing inconsistencies, cost leakage, and opportunities for national pricing alignment.
• Develop and maintain reports, dashboards, and models using Excel and Power BI where required. 1
• Translate complex datasets into practical, actionable commercial insights for the Commercial Manager and senior stakeholders.

Purchasing Support

• Assist the Commercial Manager with purchasing-related projects through data-driven analysis.
• Compile supplier spend summaries, price comparison reports, and cost analysis reviews.
• Collaborate with the finance team to source accurate and up-to-date financial and cost information.
• Support the development and enhancement of purchasing processes and related documentation to ensure consistency and efficiency across the business.
• Provide analytical support to strengthen national supplier pricing and purchasing outcomes.

Asset & Property Administration (Commercial Support)

• Support the Commercial Manager with the compilation of property and hire asset audit reports, including data analysis, photos, action points, and follow-up requirements.
• Assist with the coordination and reporting of monthly property audits and maintain action registers for commercial sites.
• Support the planning, tracking, and reporting of repairs, inspections, and maintenance tasks through accurate data and reporting.
• Assist and support the operations administration team with system queries, reporting issues, and data-related requirements associated with asset, vehicle, and property administration.

Warranty Claims (Hire Assets)

• Support the analysis and reporting of warranty claims for hire assets, including pumps and equipment.
• Identify recurring trends, supplier issues, or failure patterns through warranty data analysis.
• Assist with maintaining warranty claim registers and follow-up reporting to ensure outstanding items are progressed and resolved.

Commercial & Vehicle Insurance

• Maintain up-to-date records of commercial and vehicle insurance policies.
• Assist with insurance renewals, claims, and documentation requests.
• Liaise with brokers and internal stakeholders to support information gathering and submissions.

Compliance & System Administration

• Maintain oversight of key compliance obligations across the commercial function, ensuring registrations, renewals, audits, and certifications are tracked and met.
• Assist in the development and refinement of compliance-related processes, workflows, and documentation to support operational consistency across all locations.
• Support accurate system records and reporting to maintain data integrity across commercial systems.

Required Skills Qualifications & Experience

Education/Certificates

• Degree in Business, Finance, Economics, Data Analytics, or a related discipline (or equivalent practical experience).

Experience & Knowledge

• Experience in a commercial analysis, data analysis, or business analytics role.
• Strong ability to analyse large datasets and identify trends, variances, and commercial opportunities.
• Advanced proficiency in Microsoft Excel (pivot tables, lookups, data modelling; Power Query desirable).
• Experience using Power BI or similar reporting and data visualisation tools.
• Experience working with ERP or hire/rental software (Syrinx highly regarded).
• Strong organisational and multitasking abilities.
• Excellent communication and interpersonal skills, with the ability to present data clearly to non-technical stakeholders.
• Proactive, with strong attention to detail and a high level of accuracy.
