Job Overview: The HR & Admin Manager plays a pivotal role in shaping our gallery's culture and ensuring smooth day-to-day operations. In this dynamic role, the HR & Admin Manager leads recruitment efforts, supports employee development, oversees health and safety, manages performance evaluations, and ensures staff satisfaction. Additionally, the role involves managing purchasing, office operations, and administrative support to facilitate efficient gallery activities. For a detail-oriented professional with a passion for both people and processes, this position offers an exciting opportunity to make a meaningful impact in the art world.

Location: Makati City

Office Hours: Tuesday – Saturday, 9 am – 6 pm (onsite)

Salary Range: PhP 80,000.00 – P 100,000.00 / month including commissions and benefits

Key Responsibilities:

Human Resources:

● Actively participate in recruitment by preparing job descriptions, posting advertisements, and managing the hiring process.

● Conduct onboarding and ongoing training for new and existing employees, with specialized programs for art handling to maintain high standards in art care and management.

● Monitor and assist in employee performance management, including implementing a loyalty recognition program for long-serving staff and a comprehensive retirement plan.

● Support management with disciplinary and grievance issues, maintaining a positive workplace culture.

● Maintain confidential artist and employee records in compliance with policies and legal requirements, including performance appraisals, attendance records, certificates, government IDs/documents etc.

● Ensure employee satisfaction and organization in the work environment, and oversee the implementation of health and safety standards.

● Contribute to general meetings with HR insights, and manage the development and implementation of staff development and team-building initiatives.

● Manage the employee health insurance program, ensuring staff utilization of benefits effectively.

Office Management:

●Manage daily operations to ensure the art gallery runs efficiently, maintaining a professional environment for gallery activities and staff support.

●Supervise the upkeep of gallery spaces, overseeing equipment and facility functionality.

●Work with IT support to ensure robust technology resources for staff, securing digital art records.

●Collaborate with the finance team for budgeting, tracking expenses, and financial reporting.

●Develop and enforce office policies and procedures, enhancing productivity and ensuring compliance.

●Provide comprehensive administrative support to artists, including assistance with TIN applications, visa application certificates, and other administrative requirements.

Qualifications:

●Bachelor's degree in Human Resources, Business Administration, or a related field.

●At least 5 years of experience in HR and administrative roles, preferably in a creative setting.

●Strong understanding of HR functions, including recruitment, performance management, and employee development.

●Experience in purchasing, procurement, and office management.

●Excellent interpersonal and communication skills, with the ability to maintain confidentiality.

●Strong organizational skills and attention to detail.

●Ability to work independently and handle multiple responsibilities.
