Role Snapshot: What You'll Do
Be part of our client's team as an Admin Assistant, supporting training operations, student coordination, customer inquiries, documentation, and compliance processes. You'll handle bookings, provide administrative support, assist with certifications, and ensure smooth end-to-end service delivery that keeps training programs running at world-class standards.

What It Takes to Succeed
- At least 2 years of experience as an Administrative Assistant, Virtual Assistant, or similar role (experience in a training or safety-related industry is an advantage)
- Ability to work efficiently in a remote environment with minimal supervision
- Strong communication and customer service skills-both written and verbal
- Proficiency in MS Office, Google Workspace, and learning management systems (experience with aXcelerate is a plus)
- Excellent attention to detail, organization, and time management
- Ability to multitask, prioritize, and manage sensitive information confidentially
- Reliable internet connection and a dedicated workspace
Key Responsibilities
- Manage the aXcelerate LMS to process individual and group training bookings
- Update training calendars, schedules, and student information
- Coordinate with instructors and internal teams for session requirements
- Handle inbound calls, emails, and student inquiries
- Provide guidance on training schedules, requirements, pricing, and registration
- Assist clients with troubleshooting login or booking concerns
- Generate and send invoices for training sessions
- Track payments and update financial records
- Coordinate with finance regarding payment issues
- Maintain accurate digital files, student records, and compliance documents
- Support audit preparation and compliance checks
- Perform general administrative tasks such as scheduling and data entry
- Organize virtual meetings and training activities
- Monitor shared inboxes and route messages appropriately
- Issue training certificates in accordance with regulatory standards
- Verify compliance documents and ensure complete records
- Assist with reporting requirements for training compliance
