The
Engineering Admin Associate
supports the Maintenance Department by handling communication, documentation, and coordination of all repair and maintenance activities to ensure smooth and efficient operations.

Administrative Support & Communication

  • Serve as the main point of contact for all maintenance-related concerns from branches.
  • Receive and log calls, messages, and reports related to maintenance and repair requests.
  • Coordinate with technicians and third-party contractors to ensure timely response and completion of work orders.

Job Order & Scheduling Management

  • Prepare and issue job orders based on requests received.
  • Track job order progress and ensure timely completion of maintenance activities.

Procurement & Cost Assessment

  • Prepare purchase requests for tools, materials, and supplies needed for maintenance and repairs.
  • Conduct basic cost assessment to ensure efficient use of maintenance budgets.
  • Coordinate with suppliers and contractors for quotations and deliveries.

Documentation & Filing

  • Maintain organized documentation of all maintenance activities, job orders, and material requests.
  • Ensure proper filing of maintenance reports, contractor invoices, and other related documents.
  • Update databases and monitoring sheets for easy tracking and reference.

Team Coordination & Support

  • Assist the team in daily administrative operations.
  • Support process improvement initiatives to streamline communication and documentation.

ABOUT YOU:

  • Bachelor's degree, preferably with a background in Engineering, Construction, or a related field.
  • Minimum 1-2 years of experience in customer service or administrative coordination.
  • Proficient in Microsoft Word, Excel, and other office applications.
  • Basic understanding of engineering or construction processes.
  • Ability to work under pressure and meet deadlines.
  • Flexible in working hours and adaptable to changing work demands
  • Strong organizational and communication skills
