Procurement Specialist

Job Summary:
The Procurement Specialist is responsible for managing the end-to-end procurement cycle to ensure the timely, accurate, and cost-effective acquisition of goods and services. This includes reviewing Purchase Requests (PRs), sourcing qualified suppliers, securing quotations, conducting price analysis, and preparing Purchase Orders (POs) in accordance with company policies.
The role is also responsible for receiving and inspecting deliveries, managing urgent and high-value purchases, coordinating with suppliers to ensure complete documentation, and assisting the Finance Department with invoice reconciliation and procurement reporting. It requires strong organizational, negotiation, and communication skills, as well as the ability to operate both manual and automatic vehicles for procurement-related pickups.
Job Description:
- Drive both manual and automatic vehicles for pickup and purchasing of high-value procurement items when necessary.
- Handle urgent, rush, and same-day purchases while ensuring accuracy and proper documentation.
- Receive all inbound deliveries at the main office and ensure proper distribution to each department.
- Process and review Purchase Requests (PRs) to ensure the completeness of item specifications, requirements, and proper documentation.
- Source qualified suppliers and obtain multiple quotations for comparison.
- Conduct price analysis and negotiate pricing, payment terms, and delivery schedules.
- Prepare and process Purchase Orders (POs) in compliance with company policies.
- Track and manage pending PRs, POs, and deliveries to avoid delays or stockouts.
- Receive and inspect deliveries to ensure quality.
- Report and document discrepancies.
- Prepare the liquidation and procurement report using google sheet and bitrix.
- Coordinate with suppliers to secure complete and duly signed 2307 forms prior to submission to the Finance Department.
- Support Finance in reconciling invoices, payments, and procurement documentation.
Qualifications:
Education & Experience
- Bachelors degree in Business Administration, Supply Chain, Logistics, or any related field
- At least 1-2 years of experience in procurement, purchasing, supply chain, or a similar role is an advantage.
Skills & Competencies
- Strong negotiation and supplier management skills.
- Excellent attention to detail and accuracy in reviewing specifications and documentation.
- Good organizational, time-management, and tracking abilities.
- Proficiency in Google Workspace (Sheets, Docs, Drive); experience with Bitrix or similar systems is a plus.
- Strong communication and coordination skills across departments and with external suppliers.

Job Type: Full-time
Pay: Php28, Php30,000.00 per month
