Project Manager

Job Title: Project Management/Engineer (BTL/Fabrication & Events)

Role Purpose

The Project Manager (PM) is responsible for planning, coordinating, and executing below-the-line marketing projects with a heavy focus on fabrication, construction, and event activations.

This includes managing end-to-end project lifecycles for events, exprential marketing, and designated smoking areas (DSAs), ensuring that projects are delivered on time, within budget, and to the highest quality standards.

The PM serves as the bridge between clients, internal teams, (accounts, creative, procurement, finance), and extenal vendors/contractors, ensuring seamless execution and compliance with client, regulatory and safety requirements.

Key Responsibilites

1. Project Planning and Execution

2. Translate client briefs into detailed project plans, timelines and budgets

3. Manage the execution of BTL projects, including event setups, activations and construction of DSAs
4. Oversee fabrication and construction work, ensuring quality, safety and compliance with client and regulatory requirements

5. Coordinate with vendors, contractors, and suppliers for materials, logistics, and installations

6. Budget and Financial Management

7. Prepare and manage projects budgets in collaboration with Finance and Accounts

8. Monitor expenditures, ensuring profitability and cost control

9. Approve vendor qoutes, track invoicing, and ensure timely billing and collections

10. Cross- Department Collaboration

11. Work closely with Account Managers and Account Directors to align project execution with client expectations

12. Collaborate with Creative and Strategy teams to bring concepts to life
13. Cooridinate with Procurement for sourcing vendors and materials

14. Provide Finance with accurate financial tracking and reporting

15. Client & Stakeholder Management

16. Serves as the client-facing project lead, providing updates, reports and assurance of quality

17. Conduct site visits and walkthroughs with clients to review progress and final delivery

18. Manage client expectations and resolve issues or escalations quickly

19. Vendor & Contractor Oversight

20. Develop and maintainn a roster of reliable suppliers and contractors

21. Negotiate terms and ensure vendor compliance with quality and safety standards

22. Supervise on-ground work during event setup, fabrication, and construction phases

23. Risk & Compliance

24. Ensure compliance with health, safety, regulatory requirements, especially for public installations and Designated Smoking Areas (DSAs)

25. Identify risks in timelines, budgets, or logistics and create mitigation plans.

26. Secure necessary permits and approvals for construction and event activations in coordination with 3rd-party suppliers

27. Minimum Qualifications: Bachelor's Degree in Marketing, Project Management, Engineering, Architecture, or related field.

28. 5-7 years of project management exprerience in advertising, events or fabrication-heavy industries.
29. Strong background in BTL marketing, event setups, and construction/fabrication projects.
30. Proven ability to manage multiple large-scale projects simultaneously.
31. Excellent vendor management and negotiation skills.
32. Proficiency in project management tools (Asana, Ms. Project, Trello or equivalent).
33. Familiarity with AutoCad/technical drawings.
