ROLE SUMMARY

The Admin & Editorial Assistant supports day-to-day operations across administrative, editorial, and project coordination functions. This role keeps the publishing workflow organized—from tracking manuscripts to assisting with production schedules—while ensuring the office runs smoothly. It's ideal for someone who's organized, resourceful, and comfortable switching between tasks in a startup environment.

KEY RESPONSIBILITIES

  • Track ongoing publishing projects, maintain project calendars, update status sheets, and follow up with writers, editors, and designers to keep timelines on track.
  • Provide editorial assistance: initial manuscript checks, proofreading support, formatting documents, collecting author requirements, and preparing files for editors.
  • Manage administrative tasks including email handling, meeting scheduling, documentation, and maintaining shared folders and databases.
  • Assist with coordinating production steps including ISBN requests, file submissions, and communication with printing or layout partners.
  • Prepare reports, meeting notes, and basic presentations as needed.
  • Support marketing and publishing operations tasks when required (e.g., sending materials, coordinating launch requirements).
  • Perform other operational, administrative, or project-related duties as required in a dynamic startup environment.

QUALIFICATIONS

  • Bachelor's degree in any field (Communications, English, or Business is an advantage).
  • Strong organizational and time-management skills; able to juggle multiple deadlines without losing accuracy.
  • Excellent written and verbal communication skills.
  • Comfortable with basic editorial tasks (proofreading, formatting, light content checking).
  • Proficient in Google Workspace / MS Office; experience with project tracking tools is a plus.
  • Detail-oriented, proactive, and able to work independently with minimal supervision.
  • Flexible and willing to take on assorted tasks typical in a growing startup.
