Secretarial Support
Receives instructions from supervisor and staff on administrative and secretarial assignments to be done.
Coordinates incoming and outgoing office telephone and fax by analyzing traffic data as to urgency to ensure proper handling and dissemination to the concerned individuals.
Manages incoming and outgoing mails and correspondence by logging and sorting incoming/outgoing mails/correspondence/documents as to urgency to ensure distribution to the concerned individuals.
Establishes and implements a document tracking system to ensure all matters and concerns reach the appropriate individual and is responded to.
Office Administration
- Monitors division budget by recording and accounting weekly expenditures to ensure complete and accurate preparation and prompt submission of expense account reports on a monthly basis.
Proper Documentation and Inventory Tracking
Receive, inspect and document the delivery of supplies materials and equipment.
Maintain accurate records of inventory movements and property assignments.
Prepare and process purchase requests, delivery receipts, inventory reports, and related documentation.
Efficient support to internal units
Manage the issuance and turnover of materials to different units, ensuring proper recording and acknowledgement.
Support tracking of supplier performance and delivery timelines.
Compliance with internal control procedures
Participate in periodic inventory audits and assist in reconciling discrepancies.
Organize and maintain filing systems for procurement and inventory documents.
Others
- Perform related functions that may be assigned from time to time to support unit operations.
Qualification
College Degree preferably Business Administration or any other related Degree.
Job Type: Full-time
Pay: Php15, Php22,000.00 per month
